Fameus attaches great importance to the protection of your personal data (and that your privacy is respected).

 

In this privacy statement we want to provide clear and transparent information about what data we collect and how we handle personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care. Fameus adheres to applicable laws and regulations in all cases, including the General Data Protection Regulation (Regulation EU 2016/679).  

 

This means that we in any case:

  • Process your personal data in accordance with the purpose for which it was provided, these goals and type of personal data are described in this privacy statement;

  • Processing of your personal data is limited to only those data that are minimally necessary for the purposes for which they are processed;

  • Ask for your explicit permission if we need it for the processing of your personal data;

  • Have taken appropriate technical and organizational measures to ensure the security of your personal data;

  • Do not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;

  • Being aware of your rights regarding your personal data, wanting to point this out to you and respecting them.

To whom is this privacy statement addressed?

This privacy statement applies to all our current and past members, participants in activities, persons who show or have shown an interest in our activities, services or products, customers and prospects, suppliers.

      

 

What do we process which personal data for?
Your personal data will be processed by Fameus for the following purposes and legal grounds:

 

  • Member administration and services to participants (execution of the agreement)

  • To be able to participate in Fameus' activities; (execution agreement)

  • Contact in case of program change or cancellation

  • Providing workshops and explanation of operation 

  • Sending information about our activities, newsletters and invitations. (legitimate interest)

  • Occasional e-mails with an offer for projects and events (which are directly related to a recent visit)

  • Obtaining government subsidies (legal obligation)

 

 

Insofar as the processing of personal data takes place on the basis of consent, you always have the right to withdraw the given consent.

 

For the above purposes, we may request and/or process the following personal data from you:

  • Personal identity data: name, first name, address,

  • Private contact details: telephone number, e-mail address

  • Identity data issued by government : identity card number

  • National Insurance number

  • Personal characteristics: date of birth, place of birth, sex/gender, nationality

  • Interests

  • Financial details (including account number, payments, ...)

  • Education and training

  • Presence

  • Visual material (photos, videos, recordings, …)

 

We only collect personal data that you provide to us in various ways (including registration forms, fill-in and contact forms on our website, personal/telephone/email contact, etc.).  We do not collect personal data from third parties, with the exception of information received from affiliated associations/clubs or federations.

 

We only use the collected data for the purposes for which we obtained the data.

 

Whether or not you provide data yourself

The information mentioned must, if applicable, be provided in order to become a member or participate in activities of the association.  With the exception of :

  • Footage (for public relations)

  • Contact details (for direct marketing)

  • …

The consequence of not providing the data is not publishing targeted photos of you, and not receiving unsolicited commercial e-mails.

 

Provision of personal data to third parties - processors


We may provide the information you provide to us to third parties if this is necessary for the implementation of the purposes described above.

 

For example, we use a third party (external service provider) for:

  • Storing and processing data in the Cloud (via a Cloud Service Provider)

  • Taking care of the internet environment (web hosting, mail hosting, ..);

  • Taking care of IT infrastructure (including IT network, servers,  …);

  • Taking care of the (financial) administration and social secretariat

  • Insuring our members, participants and volunteers

  • Providing (and distributing) newsletters and invitations.

 

We never pass on personal data to external service providers (processors) with whom we have not concluded a processing agreement (or the same provisions have been included in the contract conditions).

 

We naturally make the necessary agreements with external service providers (processors) to guarantee the security of your personal data.

 

Provision to third parties - recipients

 

We share personal data with the following external parties:

  • Affiliated organizations that are part of the ecosystem of our federation / umbrella (the federation / umbrella itself, the other associations that belong to the same federation / umbrella, ...)

  • Your data is stored in a shared database on our server

  • Partners with whom we organize activities in collaboration (activities that have been developed with two or more organizations (including co-production), and for which participant lists are exchanged)

  • Public services (including subsidizing authorities, tax administrations, social security institutions, etc.)

  • Brokers in personal data or direct marketing

  • External trainers or trainers

 

We naturally make the necessary agreements with these parties to guarantee the security of your personal data and that your data is treated confidentially.

 

Furthermore, we will not pass on the information you provide to other third parties (provide other parties), unless this is legally required and permitted. An example of this is that the police, in the context of an investigation  request (personal) data from us. In such a case, we must cooperate and are therefore obliged to provide this information.

 

At no time do we sell or rent your personal data to third parties. We also never pass on your contact details to third parties for commercial purposes.

 

We can share personal data with other third parties if you give us (written) permission for this.  You have the right to withdraw this consent at any time, without this affecting the lawfulness of the processing for its withdrawal.

 

We do not provide personal data to parties located outside the European Economic Area. 

Or

Your personal data may be transferred to countries outside the European Economic Area.  In that case, your personal data is protected by specific contractual obligations in accordance with the obligations of European privacy regulations.

 

 

Retention period


Fameus does not store personal data longer than necessary to achieve the purpose for which it was provided, with due observance of the period necessary to comply with legal requirements (including in the field of accounting).  Retention periods may, however, differ per purpose.

 

Fameus undertakes not to keep the data for longer than:

maximum 5 years after last use (or termination of cooperation)

 

Data security


We have taken appropriate technical and organizational measures to protect your personal data against unauthorized access, use, loss or disclosure. (…infringements, loss and unlawful processing…)

For example, we have taken the following measures;

 

  • All persons who can take cognizance of your data on behalf of Fameus are bound by confidentiality.

  • We have a username and password policy on all our systems;

  • We pseudonymise and ensure the encryption of personal data if there is reason to do so;

  • Encryption of the hard drives of our laptops

  • We use a virus scanner and update it systematically and in a timely manner, and we installed a 'firewall'.

  • We systematically make backups of the personal data in order to be able to restore it in the event of physical or technical incidents;

  • We regularly test and evaluate our measures and adjust them if necessary;

  • Our employees are informed (and trained) about the importance of protecting personal data.  They follow a number of clear guidelines for this and are regularly trained and made aware of their responsibility.

  • These employees are granted access to your data to the extent that they need that information to properly perform their duties.

  • For new projects that may have an impact on your privacy, an extensive analysis is carried out to guarantee your rights, the security and protection of your personal data.

 

Should an incident nevertheless occur in which your data is involved, you will be notified personally in the circumstances provided for by law.

 

Your rights regarding your data


You have the right to inspect and copy the personal data relating to you. You have the right to correction and supplementation if your data is incorrect or incomplete.

 

You have the right to erasure (deletion) of the personal data  which we have received from you, and which are no longer strictly necessary for the purposes for which they were processed. We do reserve the right to determine whether your request is justified.

 

You have the right to restriction of data processing: if you object to the processing of certain data, you can ask to stop this processing.

 

You can also object (oppose) to the way in which certain of your personal data is processed.  For example, you have the right to object to the use of your personal data for direct marketing purposes (via unsubscribe options in e-mails).

 

You also have the right to have the data provided by you transferred by us to yourself or directly to another party on your instructions.

 

You can contact us to exercise your rights via the address at the top of this privacy statement, accompanied by a motivation for your question.

We may ask you to identify yourself before we can comply with the aforementioned requests.  (to prevent abuse, we may ask you to identify yourself adequately). To verify your identity, we ask you to enclose a copy of the front of your identity card with your application. We strongly recommend that you make your passport photo invisible and state that it is a copy.

 

No category of persons is subject to any form of automated decision-making or profiling.

Complaints


If you have a complaint about the processing of your personal data or about the exercise of your rights, we ask you to contact us immediately.

 

You always have the right to file a complaint with the supervisory authority in the field of privacy protection:

Changes to our privacy statement


Fameus can change its privacy statement at any time.  We will announce this change on our website. The last change happened on  June 13, 2019.
